The client's team was split between Google Workspace and M365 users, causing friction in collaboration, calendar sharing, and document co-editing. Limited internal expertise meant they couldn't execute the migration safely without risking email downtime or loss of historical mailbox data spanning several years.

Our Solution

We used MigrationWiz to execute a phased migration — first contacts and calendars, then mailbox data in batches. Microsoft Secure Score was monitored throughout, and users were trained on M365 before their personal cutover date. The 10-month timeline accommodated the client's operational sensitivity.

Project Plan

Inventory & Licensing

Audited all Gmail accounts, shared drives, Google Calendar data, and Google Contacts. Procured appropriate M365 licensing for all users before migration began.

Contacts & Calendar Migration

Migrated contacts and calendar data first using MigrationWiz. Users verified their data in Outlook Web Access before mailbox migration began.

Batched Mailbox Migration

Users migrated in batches of 20. Each batch ran over a weekend with a delta sync on Monday morning before users were cut over to Outlook.

Shared Drives to SharePoint

Google Shared Drives were migrated to SharePoint document libraries with permission structures preserved using SharePoint Migration Tool.
